Studio Programs Coordinator

SUMMARY
Working with the Youth and Family Programs Manager and Glass Studio Manager, this position is responsible for the management and implementation of all youth and adult art classes and the Community Gallery. The Studio Programs Coordinator works with the Youth and Family Programs Manager and Glass Studio Manager to assure connectivity between other art making programming including Art After School, the Family Center, and Glass Art Workshops. This position serves as the primary liaison for all paid art classes.
 
KEY ACCOUNTABILITIES

  • Promotes programs through communication with parents and guardians, the community, internal partners, and other organizations, including assisting students in making decisions on course selection based on pre-requisites and students’ previous experience.
  • Develops and maintains familiarity with the scope of the Museum collection and art class offerings to provide information regarding all classes, workshops, studio sessions, and specialized programs.
  • Acts as an ambassador for the art classes, education department, and Museum staff.
  • Curates exhibitions and experiences in the Community Gallery.
  • Using related software and web-based programs as required, this position assists the Education and Engagement Coordinator with all data processing facets of studio class registration from contact through payment. This includes, but is not limited to, invoicing, recording payments, processing payments, scholarships, and reconciling with the Finance department.
  • Facilitates instructor and class needs, including ordering and organizing supplies.
  • Works with Human Resources to coordinate all necessary Museum paperwork and information for new and returning instructors. Information needs include but are not limited to background checks, employment information, payroll information, ID badges, contracts, and instructor handbook.
  • Works with the Youth & Family Programs Manager to create staff development opportunities, such as instructor meetings.
  • With the Youth & Family Programs Manager, coordinates distribution of scholarship funding and develops and implements scholarship marketing plan.
  • Provides routine administrative support for the Museum studio class program, such as the development of catalog copy, creating instructor contracts, and maintaining supplies. 
  • Performs other duties as assigned or required.
 
EDUCATION AND EXPERIENCE

  • Bachelor's degree in education, humanities, or cultural studies discipline, such as anthropology, African American studies, Asian studies, history, studio art, or art history is required.
  • At least 2 years of experience in a position requiring customer service, basic Word and Excel skills, and accurate recordkeeping and report generation employing a database; or equivalent combination of education and experience.
  • Previous experience with teaching art preferred.
 
SPECIALIZED KNOWLEDGE, COMPETENCIES AND ABILITIES

  • Interest in studio art with knowledge of art supplies and techniques is helpful. 
  • Must have excellent interpersonal and communication skills, with ability to work in a team-oriented environment.
  • Ability to handle a varied workload, to multi-task, be detail-oriented with outstanding organizational skills and good follow-through.
  • Must understand the urgency of deadlines and effectively complete time-sensitive tasks. 
  • Must be a self-starter able to identify projects/staff in need of assistance during slow periods.
 
RELATIONSHIPS

  • Reports to the Youth and Family Programs Manager
  • Works closely with other Education and Engagement staff, TMA Instructors, Visitor Services, IT and Finance.
 
WORK ENVIRONMENT
Standard office environment requiring regular use of phone, computer and copy machines. Requires mobility and lifting ability sufficient to greet and welcome students, move about classroom spaces and store/replenish art equipment and supplies. Occasional exposure to outdoor weather conditions when moving among buildings. Hours will include evenings and weekends when classes are in session.
