Project Coordinator

Of all the virtual people Jellyvision has created, the tallest and least afraid of bears is ALEX® (www.meetalex.com). ALEX helps companies talk their employees through the tricky choices they’ll have to make, like picking a health insurance plan, deciding how much to put in the 401(k), or whether they might want extra life insurance. Our customers love ALEX because he helps their employees figure out what’s best for their personal situations, which, in turn, saves our customers a boat-load of time and money - everybody wins! As we sell more and more of ALEX, we need more and more non-virtual (i.e., real life) people to keep the virtual ones amazing. That’s where you come in.


THAT’S LOVELY, BUT WHAT’S THE JOB?

We are looking for a Services Project Coordinator to assist with organizing projects, schedules, and teams, and help to keep our production process on track. You will primarily support the Project Management team, but you’ll also help the account management, creative and technical teams roll out our projects on time. More specifically, you will be responsible for:

  • Schedule and team coordination
    • Helping the Project Managers…well…manage, and drive schedules at a macro and micro level. Schedules have a way of changing around here. You’ll need to be in constant contact with our teams when things change, and make sure those changes are properly reflected in all of our internal documentation.
    • Tracking staff progress against planned deliverables and deadlines.
    • Keeping projects organized and on time (and being comfortable talking with folks when their projects are not running on time).
  • Account management and production assistance
    • Becoming an expert resource for our Project Managers and Creative Team Managers on scheduling and team staffing. Who has access to all the Outlook calendars? You do.
    • Having a high level understanding of all of our projects and timelines, so that you can help inform Account Management when we’ll have bandwidth to take on new work.
    • Similarly, keeping tabs on individual team member bandwidth so that you can help team managers decide who could take on some extra work, and who’s in desperate need of a few days off to binge-watch something on Netflix.  
    • Making sure our customers and projects are properly set up in our various production systems.
    • Monitoring our internal ticketing system and make sure things are up to date and accurate.
  • Reporting and metrics
    • Working with the project management team on business reports and various metrics.
    • Keeping teams informed about status of projects and communicate the required next steps.
  • Process improvement
    • Documenting and communicating issues that pop up so we can understand where we stray in development and how we can avoid repeating mistakes.
    • Finding gaps and inefficiencies in our processes and fixing them.
  • Special projects
    • As special projects come up (and they will), helping out in whatever capacity you can.
