Studio Coordinator

Someoddpilot is seeking an organized, personable, and detail-oriented Studio Coordinator. You will coordinate various office tasks and functions to ensure office operations run smoothly at all times. Tasks include, but are not limited to, front desk management, answering phones, maintaining office supplies, and scheduling meetings.

Who we are
Someoddpilot is an award-winning creative agency located in the heart of Wicker Park, Chicago. Founded in 1999, we were born out of a record label and now partner with global brands that want to stand for something, not just say something. From strategy, to design, to development, to video production, our work is produced in-house by our boundary-pushing creative team. It’s a fun (and weird) place to be. 

Responsibilities:
  • Welcome clients and visitors to the office and assist them as needed
  • Perform various clerical tasks as needed (file papers, organize supplies, etc.)
  • Ensure office appearance is tidy, clean and presentable
  • Assist with day-to-day operations 
  • Answers phones and directs calls to the appropriate teams
  • Order, receive, and stock office supplies and snacks
  • Manage, sort, and dispense incoming mail and packages 
  • Prepare outgoing mail, and shipping packages via FedEx, USPS, UPS
  • Maintain common areas: kitchens, meeting rooms
  • Assist with setting appointments, meetings on company calendar 
  • Schedule Public Works gallery viewing appointments
  • Picking up catering for meetings
  • Maintain good relationships with suppliers, vendors, and clients
  • Managing monthly-office maintenance tasks (air filters, water delivery, etc)
  • Report any pertinent issues that need addressing to the Office Manager
  • Run any office errands for Office Manager as needed
  • Work with IT team to resolve technical issues with server, printers, phones, etc. and coordination of office moves

Requirements:
  • Associates or Bachelor’s Degree preferred
  • 1-2 years’ experience in a reception role
  • Must have excellent verbal and written communication skills
  • Proficient in Google Suite, Word, Excel
  • Proven ability to prioritize and complete projects independently and collaboratively
  • Ability to multi-task
  • Strong customer service orientation and commitment to meeting deadlines
  • Positive Attitude with strong energy

Part-time: The ideal candidate can work Monday thru Thursday, 10am - 4pm, but hours are somewhat flexible.
